What is Cycle Count Dashboard?

The Cycle Count Dashboard in OrderGrid is a powerful tool designed to streamline and monitor the inventory counting process within your warehouse. It ensures inventory accuracy by allowing warehouse staff to review, count, and adjust stock levels efficiently. This dashboard is essential for verifying item quantities, identifying discrepancies, and making necessary adjustments.

Key Features of the Cycle Count Dashboard:

  • Real-Time Inventory Tracking: Monitor items that need to be counted in real-time, ensuring up-to-date stock accuracy.

  • Flexible Item Management: Items can be added to the count list automatically based on stock levels or manually, depending on your warehouse settings.

  • Seamless Adjustments and Recounts: After completing counts, easily make adjustments or initiate recounts directly from the dashboard.

Getting started with the Cycle Count Dashboard


Cycle Counts Widgets

On the top of the Cycle Count Dashboard screen, the widgets provide a snapshot of counting progress:

  • Percentage of Items Counted: Displays the percentage of items counted for the current day.

  • Number of Adjusted Items: This shows the total number of items that required adjustments during counting.

  • Number of Accurate Items: Displays the number of items that match the expected stock levels.

Cycle Count Items List

The cycle count items list is a table on the screen that provides detailed cycle counting information for individual items added to the list.

⚠️ Notes:

  • The item list remains empty until items are manually or automatically added to the cycle counting.

  • By default, the list displays the items added for the current day.

On this table, you can perform the following actions to view or manage the cycle count list:

  • Search for items by:

    • Item name

    • OG Code

    • SKU

    • Product Lot Code

    • Warehouse Id

  • Filter Items by status and client from the drop-down menus.

  • Use additional filters, like date range, and counter, by clicking the Extended Filter button.

    • Date range: You can adjust the date range to up to 5 days in the past.

  • Delete an Item: You can delete the item from the cycle counting list if it is not yet counted.

    • On the item, click the ⁝ (three vertical dots) icon, and click "Delete".

  • Recount an Item: You can recount an already counted item if required.

    • On the item, click the ⁝ (three vertical dots) icon, and click "Recount".

Once you start adding items to the Cycle Count Dashboard, the following columns will display essential details about the items to help you track and manage the counting process:

Item

The name of the item added to the cycle count list

SKU

The SKU (Stock Keeping Unit) identifier for the item.

OG Number

The unique OrderGrid identifier for the item.

Product Lot Code

Batch or lot code if the item.

Expiry Date

The expiration date of the item.

Client

The client associated with the item.

BIN Number

The bin number or storage location where the item is stored in the warehouse.

Tag

The tag associated with the item.

Count Day

The scheduled day for the item to be counted.

Count Status

The current status of the cycle count for the item.

  • Not Counted: Items that have not yet been counted.

  • Counted: Items that have been counted. Adjustments will be recorded in the Adjustment column if discrepancies are found.

  • In Process: Items currently undergoing the cycle counting process.

Starting Inventory

The stock quantity of the item before counting (appears blank until counting starts).

Ending Inventory

The stock quantity of the item after the count has been completed (appears blank until counting is completed).

Adjustment

Any discrepancies found during the cycle count (positive or negative adjustments) (appears blank until counted).

Based UOM

The unit of measure for the item (e.g., EA, CS).

Counter

The name of the user performing the cycle count.

Comment

Optional field for notes about the count (e.g., "Stock mismatch found").

Actions

Available actions:

  • Delete (Pre-Count)

  • Recount (Post-Count)


Add Items to the Cycle Count List

There are two main ways to add items to the Cycle Count Dashboard:

Manual Addition:

Items can be manually added to the cycle count list with a single item at a time vs multiple items via CSV file upload.

  • Add a single item:

    1. Click + Add Item on the dashboard.
      ⚠️ Please note that this button will be disabled if the cycle count settings have the "Count when item is manually added to count list" toggled OFF.

    2. Search for items by SKU, OG Code, or Item Name.

    3. Select the item and click Save to add the item.

  • Import multiple Items via CSV

    1. Prepare a CSV file with two columns (without any headers at the top): the items' OG CODE and SKU

    2. Click Import on the dashboard.

    3. Upload the CSV file and click Import.

    4. Once uploaded, the items will appear in the Cycle Count Dashboard under the "Not Counted" status, ready to be counted.

Automated Cycle Count Triggers

Items can be automatically added to the list based on triggers configured in the Cycle Count Settings. These triggers include:

  • Inventory Level Trigger: Adds an item when the stock falls below a threshold.

  • Partial Fulfillment Trigger: When an order's line item is short-picked during express pick, it will be added to the cycle count list.

  • Zero Stock Trigger: When an item is depleted in a certain bin(not the inStock quantity of the item inventory), the system will automatically add that item to the cycle count list.

To set up these automatic triggers, navigate to Cycle Count Settings.


Exporting Cycle Count Dashboard Table

To export the current cycle count table to a CSV file for reporting or review:

  • Click Export at the top right of the dashboard.

  • The CSV file will include all the visible columns and items listed in the current view.
