What are Replenishment Settings?

The Replenishment Settings page allows users to configure the replenishment process, ensuring that recommendations align with business needs. This page controls various features, such as determining when to trigger replenishment, managing ordering windows, and automating purchase orders. By adjusting these settings, users can customize their replenishment workflow for optimal inventory management.

Replenishment Settings Overview

The following settings can be configured to tailor replenishment recommendations to meet your business needs. The key features such as Recommendations Visibility, Minimum Level Approach, Ordering Window Approach, and Automated Purchase Order Creation allow you to adjust when and how recommendations are triggered and ensure that inventory levels stay aligned with demand. For more detailed information about each setting and its functionality, see the table below:

Recommendations Visibility

Controls whether today's recommendations only or both today's and future recommendations are included for forecasting purposes.

Show today’s and future recommendations: View both today’s and upcoming stock needs to ensure you’re prepared in advance for replenishments in Replenishment > Recommendations.

Minimum Level Approach

Defines when a replenishment recommendation is triggered based on the final stock level.

A recommendation is triggered when the final stock is less than or equal to the minimum level.

Example: Generate a reorder when the stock falls to 20 units or below 20 units.

Ordering Window Approach

Sets a timeframe for recommendations and defines ordering preferences.

Order as soon as possible: Triggers orders for immediate restocking. Order as late as possible: Delays orders to minimize unnecessary stock replenishment.

Days Forward Automation

Adjusts recommendations automatically to meet the next delivery schedule, factoring in delivery gaps.

Set to 3 days: If the current delivery gap is 4 days, the system will adjust to a 4-day gap.

Excluding Today’s Demand

Prevents today's demand from affecting replenishment calculations to avoid over-purchasing.

Exclude today’s demand: If today's consumption is 50 units, it will not be factored into replenishment calculations as the system will assume those units have been consumed by the end of the day.

Offset Parameter

Shifts the forecast by one day, useful for aligning with late-night deliveries.

Offset by 1 day: For deliveries expected late Tuesday night, the system will shift the forecast to ensure stock arrives by Monday night.

Show inventory balancing alerts

Displays an icon in recommendations showing item stock at other warehouses.

Hover to view inventory levels across sites.

A recommendation is triggered at Warehouse A, but Warehouse B and Warehouse C have stock. Hovering on the icon shows their inventory levels, helping them decide whether to transfer stock instead of placing a new order.

Lead Time Schedule

Allows different lead times based on the delivery day of the week.

Lead time of 4 days for Sunday deliveries, and 3 days for Saturday deliveries.

Automated Purchase Order Creation

Automates the creation of purchase orders, with options to generate drafts or open orders.

Automatically generate open purchase orders at 9 AM daily, sending them directly to suppliers.

Notification Settings

Configures email notifications for replenishment recommendations and auto-generated purchase orders. Once enabled, follow these steps to set up email notifications for both company and partner communications.

Enable Recommendation Email

Sends email notifications when a new replenishment recommendation is generated.

Once this is toggled ON, navigate to Settings > Company > Notifications.

You can then input the email address to receive notifications for new replenishment recommendations.

This ensures the team is alerted immediately whenever stock recommendations are made, helping to take timely action.

Auto PO Emails

Sends daily emails with a report of all auto-generated purchase orders in "Draft" or "Open" statuses.

Once this is toggled ON, navigate to Settings > Company > Notifications.

Here, you can input the email address to receive notifications for auto-generated POs.

This ensures the team is aware of POs generated and can review them, ensuring there are no missed orders.

Enable Partner Auto POs Email

Sends email notifications when a new replenishment recommendation is generated.

Once this is toggled ON, navigate to Partner > List and click on the partner.

Here, you can input the partner's email address to ensure they receive notifications about the auto-generated POs.

Partners receive timely notifications of new purchase orders, ensuring seamless order fulfillment.


Steps to Configure Replenishment Settings

  1. Setting Recommendations Visibility

    • Navigate to Replenishment > Settings.

    • Choose from:

      • Show today’s and future recommendations: View both immediate and upcoming stock needs.

      • Show only today’s recommendations: View only today's replenishment needs.

    • Expected Outcome: Your replenishment recommendations will reflect the selected visibility, whether for today only or including future days.

  2. Configuring Minimum Level Approach

    • Navigate to Minimum Level Approach section.

    • Choose one of the following:

      • Final stock less than Minimum level: Replenishment triggers when stock falls below the minimum level.

      • Final stock less than or equal to Minimum level: Replenishment triggers when stock is at or below the minimum level.

    • Expected Outcome: A reorder recommendation is triggered based on the Minimum Level threshold you set, ensuring timely replenishment.

  3. Adjusting the Ordering Window

    • Navigate to Ordering Window Approach section.

    • Set the number of days for the order window.

    • Choose one of the following preferences:

      • Order as soon as possible: Immediate restocking.

      • Order as late as possible: Delays orders until the last possible moment.

    • Expected Outcome: The system will reflect your order timing preferences, allowing efficient stock management.

  4. Automating Days Forward Calculations

    • Enable Auto-Adjusting Order Window/Days Forward toggle.

    • Expected Outcome: The system will adjust to the greater value between Order Window and Days Forward, automating the ordering process.

  5. Excluding Today’s Demand

    • Enable Exclude Today’s Demand toggle.

    • Expected Outcome: Today’s demand will be excluded from replenishment calculations, preventing over-purchasing.

  6. Applying the Offset Parameter

    • Enable Offset toggle.

    • Expected Outcome: Forecast will be shifted by one day when enabled, ensuring stock arrives at the right time.

  7. Activating the Lead Time Schedule

    • Enable Lead Time Schedule toggle.

    • Set lead times based on order and delivery days (e.g., 4 days for Sunday deliveries, 3 days for Saturday deliveries).

    • Expected Outcome: The system will adjust lead times according to the delivery days, optimizing replenishment.

  8. Automating Purchase Orders

    • Enable Automated Purchase Order Creation toggle.

    • Select PO generation mode:

      • Draft: Generate purchase orders in draft mode.

      • Open: Directly send purchase orders to suppliers.

    • Set restrictions for maximum quantities and monetary values.

    • Expected Outcome: Purchase orders will be automatically created and sent based on the scheduled time.

  9. Configuring Notification Settings

    • Enable Recommendation Email and Auto POs Email toggles.

    • Ensure email addresses are configured in ☰ > Settings > Company and ☰ > Settings > Partner/General.

    • Expected Outcome: Receive daily email notifications for new replenishment recommendations and auto-generated purchase orders.
