Cycle Count

This help document will guide you through the cycle count feature and its functionalities and provide steps to set up cycle counts.

Inventory counts are critical to ensure an accurate stock of items in the warehouse. Having an accurate count of the items in the warehouse is critical for all warehouse-related operations such as picking, packing, receiving, etc.


How to access the Cycle Count Feature?


In the OrderGrid App, the Cycle Count Feature i divided into three sub-features and they can be accessed by going to the > Inventory as shown in the image below.


Cycle Count Settings

The settings set up the rules to automatically update the count list on the Dashboard. Once a day the system will take a look at the warehouse items and update the count list based on the rules. The rules have differing priorities. The system will apply the rule with the highest priority if an item has more than one matching rule.

To access the cycle count settings click > Inventory > Cycle Count Settings .


General Settings:

Count when an item reaches below or equal to the inventory level

You can specify the item level. When the inventory level is below or equal to 5 above, then the item is added to the count list. This can be set to a different number.

Count when item is manually added to count list

This rule is applied by default and can’t be deactivated.

Count when a line item is partially fulfilled

Applied by default and can’t be deactivated.
This is when an order's line item is short-picked during express pick. It will trigger a cycle count because the user noted the pick said to pick 2 EA but they could only pick 1 EA. The cycle count trigger will route a user to the bin to cycle count and update the stock quantity.

Count when a BIN item becomes zero

Applied by default and can’t be deactivated.

Cycle Count Frequency:


Count when Item's tag is:
This rule allows to set the count frequency based on the item tag. To add a tag click press + Add and on the pop-up, select the Item tag with the Client and the days for frequency. Once selected, click Save .


You can edit or delete the rule.

Note: there can only be one rule per tag.


Count when an item’s price is above:
Add item price and frequency days.


Count when an item’s category is:

Add the item’s category with the Client and the days for frequency. Once selected, click
Save .


Count when an item’s zone is:
Add the item's zone with the days for frequency. Once selected, click Save .

Note: only one rule per zone can be set.


Once rules are added, click Save to complete setting up cycle count frequency.


Cycle Count Dashboard

The dashboard provides visibility into the current inventory count requirements as well as a comprehensive record of past counts. Moreover, you can also add new items to be counted and export the dashboard table as a CSV.

To access the cycle count dashboard click > Inventory > Cycle Count Dashboard .


Understanding the Dashboard page:

The dashboard shows the history of cycle counts, as well as the counts to be performed for today. The dashboard also displays the cycle count widgets.

Cycle Count Widgets:


Counted Widget

It shows the percentage of items counted today from all the items to be counted today.

Adjusted items Widget

The number of items that were adjusted on the confirmation step on the Cycle Counts Mobile page.

Accurate items Widget

The Number of items that were not adjusted during cycle count.

Dashboard Table:

This table provides detailed cycle count information. You will be able to do the following actions on this page to view/manage the cycle counts.

Search Item:
On this page, you can search for items by:

  • Item name

  • OG Code

  • SKU

  • Product Lot Code

  • Warehouse Id


Filter Items:
You can also filter by status and client from the drop-down menus, as shown below:


To use any additional filters, like date range, and counter, you can click the Extended Filter button.


Customize Table View:
To customize the columns that are shown on the dashboard, you can select the button in the top right corner as shown in the image below.


You can select or deselect any information that you want to show or hide from the dashboard view.


Delete an item:
You can delete the item from the list. To delete an item, scroll all the way to the right toward the last column, and click (three vertical dots) icon, and click Delete


Manually add a new item:
To add a new item to the cycle count list, click + Add Item button on the top right of the window.


Once you select the item from the dropdown and click Save to add an item. The item will be added to the table, and all the corresponding Bins will be added to the Cycle Count Mobile page.


If an item has multiple lots, it will be added to the dashboard the corresponding number of times.


Cycle Count Mobile

To access the cycle count mobile click > Inventory > Cycle Count Mobile .

Cycle count mobile shows the list of bins that contain the items from the Dashboard. It has both a Bin view and an Item view. Within both views, you can see counted or not counted items or bins.

BIN VIEW
You can search a bin that is not count or counted by simply scanning the bin or typing in the bin number.

To expand the bin view click > icon on the bin on the right side, and it will display items in that bin.

To initiate counting, click on any bin that has not been counted and click Start . Once started, you will be assigned to the bin.


To adjust the number of items click - or + buttons or input numbers in the field.


To adjust the expiry date and or comment click the arrow icon to the left and Save .


Once the adjustments are made, click Confirm to update the bin to count. This will update the items on the Cycle Count Dashboard and counted BIN can now be found under the Counted tab.
