What is the Inventory Module?
The Inventory Module in OrderGrid provides a centralized view to monitor and manage stock levels, stock's operational statuses, and item movements across warehouses. It allows you to track stock availability, review item histories, and perform actions such as placing items on hold or updating lot information.
To access the Inventory Module navigate to

Inventory Page Overview
The Inventory page is your central workspace for managing all items' inventory. It provides real-time updates on stock levels, operational status, availability, and more, giving you a clear picture of your inventory. From here, you can quickly track movements, view item details, and perform important actions such as placing items stock on hold or temporarily deactivating them.
Inventory Table
The Inventory page displays items' inventory details in the table below. In this table, you can search for an item by SKU, OG Code, and Item name.
By default, this table shows only the items' inventory that are Active and have inStock quantity greater than 0. You can view the Inactive item inventories by toggling ON "Show Inactive". Similarly, you can view the Zero inStock item inventories by toggling ON "Show 0 stock".
Column | Description |
OG Code | A unique item identification number assigned to any item that is created in the OrderGrid app. |
SKU | A stock-keeping unit used for tracking inventory. |
Item | The name or description of the item. |
Warehouse | The name of the warehouse where the item is stored. |
Owner | The owner of the item (e.g., company or client). |
UOM (Unit of Measure) | The unit in which the item is measured (e.g., EA for each, CS for case). |
Operational Status | Indicates the item's current operational status.

In Stock | The items' current total stock qty in the warehouse. This includes items that are on hold too. |
Committed | This is the quantity of stock that has been ordered on sales/ fulfillment order, but not yet shipped. It's important to note that committed items aren't reserved or on hold for specific orders. |
Available | The quantity of items available for new orders (calculated as In Stock - Committed - Hold). |
Hold | The number of items that are placed on hold, prevents them from being used for order fulfillment. |
Ordered | The quantity of items that have been ordered on a Purchase Order(PO) but have not yet received by the warehouse. |
Status | The current status of the item.

Actions on the Inventory Page
Export Inventory table data
Click "Export" on the top of the inventory page to download a CSV file that contains all the items' inventory data from the inventory table. This includes items in active/inactive statuses and items 0 inStock as well in the warehouse.
Hold an item inventory
To hold an item inventory follow the steps 🪜:
Click "Actions" on the item line which you want to put on hold.
On the drop-down, click "Hold Item".
On the Confirm pop-up window, in the Search lotCode to hold drop-down
Click "Select all Lot Code", the item will be set to have the operational status Hold. This will hold all current stock and incoming stock for this item.
Once selected
If there are multiple lots available for an item and you want to put only a specific stock on hold, select only the lot you want to put on hold. Please note that this will only put the selected lot on hold and not the entire item inventory. In that case, the inventory page will display the item as Released and not Hold.
Once selected
Click "CONFIRM" to set the item inventory or a lot to hold.
Release an item inventory from Hold
To remove the hold from an item inventory or a lot, follow the steps 🪜:
Click "Actions" on the item line where you want to remove the hold.
On the drop-down, click "Hold Item".
On the Confirm pop-up window, in the Search lotCode to hold drop-down
If all the lots are selected, click "Select all Lot Code", to unselect all the lots.
Click any lots, that you want to unselect from the drop-down.
Click "CONFIRM" to remove the hold from the item inventory or a lot, and set it to Release.
Deactivate an Item Inventory
Deactivate a Single Item:
Click "Actions" on the item line which you want to deactivate.
Select "Deactivate".
Click "Confirm" to deactivate the item.
Deactivate multiple items at once:
On the Inventory table, select the items that you want to deactivate by clicking the checkbox on the item line.
Click the "Deactivate" button which will be visible on the top of the table, after selecting the items.
click "Confirm" to deactivate the selected items.
Item Inventory Details
You can click directly on an item in the inventory table or select click Actions > Details on the item to view the inventory details. This page consists of several tabs that provide detailed information on an item's inventory.
On this page, at the top of the screen, you are provided with several tabs that provide detailed information on the item's inventory.
Below that, the page shows additional item inventory data such as Warehouse, Company, Item SKU, and Item Material ID. Also, stock details such as In Stock, Committed, Ordered and Available. On the right side, the item image is displayed.
Location
The Location tab displays a table that includes all the tags/bin locations where the stock is stored in the warehouse for the item. This table includes additional information such as Tag type, Tag Status, Quantity, Lot code, Lot status, and Lot's expiry for the stock.
Update the lot for the item inventory
Updating the lot code ensures that the item’s lot and expiry details are accurate, which is critical for tracking and inventory control.
1. | Select Actions (⋮) > Update Lot Info on the Location tab. |
2. | Choose the Lot Code and specify the Reason Code for the update. |
To update lot info, follow the steps 🪜:
On the locations tab, click Actions (⋮) > Update Lot Info on the tag.
Select the Lot Code from the available lot codes if you are updating the current lot code to a different lot code.
If required change the expiry for the lot by selecting a new expiry on Expires at field.
Select a Reason Code from the predefined list of reason codes.
Add any note if required under Notes field else, check ☑️ N/A.
Click "Save", to update the lot details.
⚠️ Note:
It is possible that the stock of the same lot code/expiry and various quantities could be stored in multiple tags. In such scenario, when the user is updating the expiry for the lot, they will be prompted to choose whether they want to update ALL TAGS containing this lot or only the tag which they choose to update the lot.
Item Info
The Item Info tab provides details about the item itself, such as the item’s type, category, brand, and planning data such as Lead time, Min level, and Min order.
Additionally, it displays a table for the Item's UOMs details such as UOM, Barcode, Quantity Weight(g), Empty Case(weight)(g), Dimensions, cm(WLH), and PO default.
💡Note:
Please note that any updates to the item details can be done on Items Page on the Client Side of the OrderGrid app and not the Warehouse side.
Inventory Posting
The Inventory Posting Tab records all actions that affect the stock level of an item, such as receivings, manual inventory adjustments, or order fulfillment. Each inventory posting is recorded with the following details in a table:
Column | Description |
Date | The date and time the action occurred. |
User | The user who performed the action. |
Tag | The tag associated with the stock that is updated by the action. |
Bin Location | Location of the bin in the warehouse. |
Action | The type of action that updated the stock.

Expiry | The expiry of the stock. |
Quantity | The quantity adjusted by the action. |
Balance | The updated stock balance after the action. The total balance of all In Stock inventory. |
📅 Filter by Date range:
You can filter inventory postings to show the data for specific date range by selecting the From and To dates on the top of the table. The longest date range you can select is upto a week long.
Movement Posting
The Movement Posting tab tracks inventory movements that don't change stock levels but alter item locations. This process helps manage internal stock movements efficiently, ensuring items are moved on time and to the correct locations within the warehouse.
The table displays the following stock movement details:

Date | Date and time the stock was moved |
From Tag | The tag location from which the the stock was moved. |
To Tag | The tag location to which the stock was moved to. |
Lot | The lot number that was moved. |
Action | The action taken to move the stock.

Quantity | The number of stocky quantity that was moved. |
5. Lot and Expiry Posting Tab
The Lot and Expiry Posting tab displays the history of Lot and Expiry Date changes for items in your inventory. These changes can be made through the Update Lot Info on the Locations tab or the Scan Tag > Update Lot function.
The table displays following information
Column | Description |
Date | The date the lot or expiry information was updated. |
User | The user who performed the action |
Reason Code | The reason for the update (e.g., Return to Stock). |
Expiry Date | The updated expiry date. |
Previous Lot | The old lot code before the update. |
Current Lot | The new lot code. |
Comments | Any note provided by the user. |
💡Note:
Everytime an item inventory is received, the new Lot and Expiry of the new stock is also captured on this table. In that case, the Reason Code, Previous Lot and Comments are "N/A" by default and the rest of the details are store based on the receiving.
Print the Inventory Details Tabs
Each of the Inventory Details Tabs allow you to print the table data along with Item's information and image, by clicking the 🖨️ Print Icon at the top of the page.
